Executive Assistant
The Executive Assistant provides high-level executive and operational support to both the President and Chief Executive Officer. This role balances strategic and tactical responsibilities, including management of executive schedules and travel, coordination of executive-level meetings and communications, administration of internal communications and recognition programs, and oversight of office operations.

Essential Functions, Duties, and Responsibilities:
Executive Support & Administration
- Manage executive calendars, coordinate complex scheduling, and organize internal and external obligations.
- Book and manage travel itineraries and logistics for executives.
- Prepare and compile documentation, presentations, and executive summaries.
- Support executive-level meetings including agenda management, attendee communications, materials preparation, and follow-up.
- Maintain confidentiality and discretion with all communications and documentation.
- Anticipate shifting priorities and manage competing demands with attention to detail.
- Communicate effectively with stakeholders across all levels, both internal and external.
- Track deliverables, ensure follow-up, and manage progress against executive commitments.
- Complete expense reports and administrative deadlines accurately and on time.
Office Operations & Management
- Manage office supplies and inventory, including ordering, restocking, and monitoring usage.
- Maintain an organized, professional, and clutter-free office environment.
- Serve as the primary point of contact for building management and office-related vendors.
- Coordinate office services, maintenance requests, and vendor access as needed.
- Support onboarding and offboarding logistics related to office access, equipment coordination, and workspace readiness.
- Assist with company-wide and executive events, including logistics and on-site support.
Internal Communications & Recognition Administration
- Manage the weekly internal newsletter, including content collection, editing, formatting, and distribution.
- Coordinate with leadership and staff contributors to ensure timely and accurate newsletter content.
- Administer the biweekly rewards and recognition nomination process, including intake, organization, and preparation of materials for leadership review.
- Coordinate recognition communications and announcements in alignment with leadership direction.
- Support internal communications workflows to ensure consistency, timeliness, and alignment with organizational priorities.
Minimum Qualifications & Skill Requirements:
- 5+ years of executive assistant or operations experience (education may substitute).
- Strong proficiency in Microsoft Office, Excel, PowerPoint, and Google Suite.
- Experience with project management tools (e.g., Monday.com).
- Excellent organizational and time management skills.
- Strong judgment, discretion, and problem-solving abilities.
- Demonstrated ability to manage executive support, internal communications, and office operations responsibilities concurrently.

- Annual base salary range of $75,000 - $83,000 depending upon factors including, but not limited to, experience, skill level, education, and location.

Office Hours
This position is based in Washington, DC and follows a hybrid work model, with 4 days per week in the office. Work hours are consistently 9:00 A.M. to 5:00 P.M., Monday - Friday, with the expectation that evening and weekend work will be required as necessary.
